Medical Billing Company
Situation: A growing Southern California Medical billing company was struggling with organizing and centralizing the massive amount of patient files required for billing.

Solution: I proposed the following: Install a scan Kiosk at each site connected to either a scanner or multifunction copier. Each Kiosk was preloaded with an ECM software solution to aid scanning, users at each site would then scan patient files via secure FTP to the host server where we had installed the Electronic Content Management system. The ECM Software OCR tool then pulled the metadata from the file and then filed the scanned pdf by patient name and hospital into the ECM software thus allowing the billing department to easily locate the records and apply proper billing at the main office.

Benefits: The new solution was more secure and cost effective than faxing or mailing paper copies to the central office for scanning. It was also secure and faster allowing the company to grow and expand quickly.
Multisite Surgical Practice
Situation: The patient intake process was very bogged down and would require new patients to spend vast amounts of time checking and scheduling procedures. This also produced a backlog with the office staff in processing new patient paperwork.

Solution: Installed several different software applications to automate the intake process. On the customers website, new patients could now select a doctor and procedure. Based on their selection, a list of specific paperwork and forms would be preprinted at that specific location for the new patient. Each form was stamped with a barcode. When the new patient arrived at the facility, they only need to sign each document, which was then scanned into the HER system and filed based on the barcode.

Benefits: The new system reduced new patient intake time by over 200%.
Medical Records Company
Situation: A fast-growing company that processed the collection of medical records for various law firms was struggling with manually collecting and dispersing collected medical records to their various law firm clients. Their growth was causing a tremendous backlog as they were struggling to find, hire and train new employees at a record pace.

Solution(s): The Phase 1 solution involved installing an advanced OCR software application that utilized AI. This automated the medical record collection process by reading each document received via fax or scan, pulling out the relevant patient information such as Name, DOB and Date of Injury and matching it with the data stared in the companies database for each law firm. Once matched the file(s) were securely uploaded to the company’s cloud portal where each law firm could then pull down the copies. Phase 2 took this a step further and automated the process further using another software application with workflow to send out signed Medical Record releases to various hospitals and providing them with a secure portal to upload the patient’s files to. A workflow behind the scenes then combined all the uploaded records and securely uploaded them to the company’s cloud portal.

Benefits: These solutions have allowed the company to grow and expand without having to add additional staff.
